Managing Email Forwarders, Autoresponders, and Filters

Overview

Forward mail to another address, set up an automatic reply, and filter incoming messages for an email account using the Forwarders, Autoresponder, and Filters tools in the Email hub.

You manage all three tools from an email account’s detail view. To reach it, perform the following steps:

  1. Select Email in the Manage section of the Meridian navigation.
  2. Click Manage next to the email account you want to configure.
Note:

You must create an email account before you can add a forwarder, autoresponder, or filter for it.

Email forwarders

A forwarder routes incoming mail from an email account to another address. For example, you could forward [email protected] to your personal inbox. The mail will go directly to the destination address. A forwarder does not store a copy in a mailbox on your account.

Add a forwarder

To add a forwarder, perform the following steps:

  1. Select the Forwarders tab.
  2. Click Add Forwarder.
  3. Enter the destination address in the Forward To text box.
  4. Click Add Forwarder.

View your forwarders

To view your forwarders, select the Forwarders tab, which lists every forwarder for the account in a table with Source and Destination columns.

Remove a forwarder

To remove a forwarder, click Delete next to the forwarder you want to remove.

Note:

You can’t edit a forwarder. To change a forwarder’s destination, delete the forwarder and add a new one with the correct address.

Autoresponders

An autoresponder sends an automatic reply to anyone who emails an account. This is useful for vacation messages or out-of-office notices.

Add an autoresponder

To add an autoresponder, perform the following steps:

  1. Select the Autoresponder tab.

  2. Click Add Autoresponder.

  3. On the Message step, enter the following information:

    • From — The name to show in the reply’s From field.
    • Subject — The reply’s subject line.
    • Message Body — The text of the automatic reply.
  4. Click Next.

  5. On the Schedule step, enter the following information:

    • Reply Interval (Hours) — The minimum number of hours to wait before sending another reply to the same sender. Enter 0 to reply to every message.
    • Start — Select Immediately or Custom to choose a start date.
    • Stop — Select Never or Custom to choose a stop date.

    The autoresponder runs between the Start and Stop dates, and sends each sender at most one reply per Reply Interval during that window.

  6. Click Add Autoresponder.

Edit an autoresponder

The Autoresponder tab lists the account’s autoresponder with its Email Address, Subject, Schedule, and Status. To change the autoresponder’s message or schedule, click Edit.

Delete an autoresponder

To remove the autoresponder, click the menu, then click Delete.

Email filters

A filter applies conditions to incoming messages and takes an action when a message matches, such as moving the message to a folder, forwarding it, or discarding it.

Create a filter

To create a filter, perform the following steps:

  1. Select the Filters tab.
  2. Click Add Filter.
  3. Enter a name for the filter.
  4. Under Add a Condition, select a message field (for example, From or Subject), an operator (for example, contains or is), and a value to match.
  5. Under Add an Action, select an action and enter its value if the action requires one (for example, a folder name for Deliver to Folder).
  6. Click Save Filter.
Note:

Filters apply to the email account where you create them. Meridian doesn’t offer domain-wide filters.

Combine multiple conditions

To match a message against more than one condition, click Add Another Condition. Choose AND to require both conditions, or OR to require either one.

Combine multiple actions

To take more than one action on a matching message, click Add Another Action. Each action you add runs, in order, when a message matches the filter’s conditions.

Reorder or delete a filter

The Filters tab lists the account’s filters in the order they run.

  • To reorder a filter, click Move Up or Move Down.
  • To change a filter’s conditions or actions, click Edit.
  • To remove a filter, click the ⋯ menu, then click Delete.
